Student provides information

As a BYU-Pathway student, I want to provide the necessary information to request a refund for a payment made with an eCheck that is more than 6 weeks old, so I can get refunded for courses I am not attending.

Background

After 6 weeks, we don't have their bank information if they paid by eCheck. Therefore, we can't process their refund. If they had paid via PayPal or credit card, we have that information longer and can process the refund immediately (with a few clicks).

How does it work today?

Students currently receive the forms through email. They then fill them out and email back to BYU-Pathway. This is a little concerning to students because they are providing bank information on a form that appears easy to imitate.

See the attached documents which are used today.

What are some other options?

Francisco mentioned that his team at another company used secure email to send sensitive documents. He would like to improve this security so student information is safer.

Questions:

  • Could we use a secure upload site?

  • What other options does the church use with other systems?

  • Is there any way we can submit data to the GSC without the form? (This would be more secure and more efficient)

  • Is there any role Cybersource can play in collecting info since it did it before?

    • 10 Mar 2021 – Gordon said Brent Jones was working on collecting a longer-term ID that would extend the limit up to something like 6 months. That would get us out of a semester and help make the refund process smooth. This is different than the short-term ID that expires after 6 weeks. Gordon isn't sure we've been collecting this long-term ID. If we haven't, we'd need to start collecting it at the point of all future transactions before it could benefit the students.

Next Steps

  • Francisco will ask former associate, Randy Leverage, to see what is possible as far as a way students can share this information.

  • Brent will ask Gordon if he knows of other secure upload or email systems used by the church that we can leverage.

    • See the answer above from 10 Mar 2021
